Store Operations and Procurement Manager

GENERAL SUMMARY: The Procurement and Store Operations Manager will assist the Store Operations team through the management of ongoing procurement projects, vendor relationships, payment systems, and inventory.


Supply Procurement and Order Processing

  • Responsible for managing store supply budget
  • Oversee the Purchasing unit within the Store Operations department
  • Coordinate the fulfillment of orders for both Corporate users as well as stores
  • Track usage/consumption at specified time intervals and formulate purchasing strategy based on historical data and anticipated usage
  • Partner with Distribution Center and third-party vendors to manage inventory of store supplies
  • Manage vendor relationships
  • Research vendors and products to identify opportunities for cost-savings while ensuring quality
  • Negotiate with vendors and initiate Requests for Proposals (RFP's) to maintain fiscal responsibility
  • Identify, recommend, and implement changes to improve productivity and reduce cost
  • Formulate and recommend policies and programs that guide the organization in maintaining and improving its supply ordering process
  • Track all purchase orders ensuring on-time deliveries to our warehouse, where applicable, and to our store teams
  • Act as an intermediary between end-users and vendors pertaining to delivery issues
  • Build relationships and collaborate effectively with key internal stakeholders
  • Review invoices for purchases which include making sure the correct pricing is reflected, checking to see that end users received their orders and assigning G/L codes and cost centers
  • Execute supplier payment, invoicing, reporting and other related administrative tasks
  • Manage ongoing Procurement projects
  • Other duties or projects as assigned


  • Act as liaison between Finance and Procurement
    • Manage Vendor Payment Process
    • Allocate charges to appropriate GL or Capital Expenditure account
  • Control a $2 million Procurement Department budget
    • Analyze expenditures
    • Reconcile monthly budget variances

New Stores

  • Coordinate delivery of supplies for new store openings
  • Partner with Great American and field leadership store opening teams to ensure that all supply related issues are addressed promptly


  • Develop successive training content for the Store Operations and Purchasing teams
  • Develop successive training content and policies regarding best practices and strategies for supply ordering for the field and RSM teams as needed
  • Train all teammates on basic Procurement principles and functions

General Store Operations

  • Assist as necessary with overflow from Store Operations related duties which include, but are not limited to, supporting the field via answering store inquiries, assisting with the implementation of training and new field initiatives, and acting as a liaison between field and Home Office partners
  • Basic understanding of store policies and procedures
  • Manage Store Operations projects as necessary
  • Partner with all Field and Store Operations management to deliver essential company initiatives


  • 3 years of Procurement/Purchasing experience (preferred)
  • Retail experience (preferred)
  • Basic knowledge of computers including Excel, Power Point, Microsoft Word


  • Ability to prioritize and manage multiple projects in a fast-paced environment
  • Strong written and verbal communication skills
  • Demonstrates effective problem-solving skills
  • Strong negotiation skills
  • Demonstrates flexibility to adapt to different situations and the needs of the department
  • Ability to work independently with minimal direction
  • Must possess excellent interpersonal skills and an ability to interact with people from multiple departments and at varying levels of the organization
